Data & account deletion
Exactly what happens when you archive, delete, disconnect or close your account.

Vekrin gives you several ways to remove information, and they do different things. This page describes what the product actually does today.
Archiving an item is not deleting it
- An archived item leaves your active inventory but stays in your household under Archived.
- Its photographs and documents are kept, and continue to count towards your storage allowance.
- You can restore an archived item at any time.
- Replacing an item archives the old one and links it to the new one, so the history is preserved.
Deleting an inventory item
- The item and its own photographs are removed.
- Documents that only belong to that item are removed with it.
- A receipt or document also linked to something else — a bill, a purchase or another item — is kept, because deleting it would break those records. You can delete it separately from Documents.
- Files are removed from storage as part of the deletion, with a background cleanup finishing shortly afterwards, so storage figures can take a short time to settle.
Documents: delete versus unlink
Unlinking a document from an item only removes the connection; the file stays in Documents. Deleting a document removes the file itself and the links to it.
Receipts, bills and spending
Deleting a bill or a purchase removes that record from your household. Where a receipt or invoice is still linked to a payment record you have kept, the document remains until you delete it too — this stops your spending history from silently losing its evidence.
Disconnecting Gmail
- Disconnecting stops all further access to your mailbox immediately and removes the stored authorisation.
- Messages and attachments already imported stay in your household, so your bills and documents keep working.
- To remove those too, delete the imported records, or delete your account.
- You can also remove Vekrin's access from your Google Account security settings.
Households
- If a member leaves, they lose access immediately. Household content stays with the household.
- If an owner removes a member, the same applies — the member's own account is not deleted.
- Household content belongs to the household, not to the member who added it.
- If the owner deletes their account, the household and its content are deleted with it. Transfer ownership or export the data first if other members still need it.
Deleting your account
Settings → Account has a Delete account option. You confirm by typing DELETE. When you confirm, Vekrin removes your uploaded files from storage, then deletes your sign-in, which cascades to your household records.
This cannot be undone. Export your data first if you want a copy.
Deletion happens straight away, but a small amount of file cleanup runs in the background and completes shortly afterwards. Backups held by our hosting provider roll off on their own schedule, so a copy can persist there for a short period before being overwritten.
We may keep a minimal record that an account was deleted, and any records we are legally required to keep, for security and accountability. These contain no household content.
